How Do You Complete
That
Growing To-Do List
Quickly and Efficiently?
Recently I was reminded of how our to-do lists can quickly grow with many items remaining incomplete and new ones being added. This can be very discouraging and the momentum we have with proceeding forward can be much reduced.
When I want to get many items done, I make a game out of it for myself - which I call "The Blitz." So that you can hold your own "Blitz" and get those pesky items completed, I am going to share with you the inside scoop on what I do.
The Top 12 Steps to Holding a Successful Blitz & Getting those Pesky To-Do List Items Done!
The Day Before the Blitz:
1. Schedule a three to six hour block of time to hold your Blitz. Schedule a “buffer” day after the blitz day – preferably the very next day. This will give you a back-up plan in case you’ve underestimated the time you need to complete your list.
2. Take steps to ensure you won’t be interrupted or distracted during your selected Blitz period. For example, pre-plan and prepare meals that will require minimal effort the next day. I made a crock pot dinner for my last blitz day.
3. Create a list of actionable, bite-sized items that you can finish in one hour or less. You don’t want to spend your blitz time planning, creating or adding to the list. Blitz time is action time.
4. Review the list and group related items that you should do together or consecutively. This will help you move from one action to the next quickly and create flow. Sometimes these will be related or similar activities (i.e. emailing different people different information). Sometimes you’ll have several tasks related to one project (i.e. action items for your newsletter).
5. Now that you have an organized list, decide which task or group of tasks you’ll complete first. It’s important to know where you’ll begin. If this is difficult, here are some tips:
6. Now that you have your starting point, number the rest of the items (or groups of items) on your list in the order you’ll complete them. This way you’ll have a full Blitz-day road map.
7. Let others around you know your plan and tell them how they can help. This may mean giving you the space to do this on your own. Or maybe there are items on the list they can help with.
8. For additional support, arrange your Blitz at the same time as a buddy. Then you can periodically check with each other on progress and reinforce expectations and plans for the remainder of the session. Sometimes I do this with my husband, a coaching colleague or coaching clients. This makes it more fun and provides more incentive to accomplish your goals .
During the Blitz
9. Remind yourself of the first few actions you’ve identified to complete and then start getting them done.
10. Make it a game and have some fun. When you complete an item, check it off your list. Keep score, awarding points for each completion.
11. Focus on what you are accomplishing and what you will achieve next. This will help you keep rhythm and flow throughout the Blitz.
12. Take a moment to review all that you’ve done after the Blitz. Celebrate your successes!
